RV park reservations

A reservation app that won’t put two guests on one lot.

Piney Grove needed to stop overlapping reservations and see which lots were taken ahead of time. So the rule lives in the database itself, where nobody can skip it on a busy day.

The need
No overlapping reservations, and a clear view of what’s reserved ahead
Who uses it
Front-desk staff, with owner-only administration
Where it runs
In a browser, on a desk computer or a phone

How staff use it

Staff open Today and work through arrivals and departures, marking check-ins and check-outs. A caller asks about dates, so they check the calendar, pick an open lot and book. If someone else just took that lot, the app says so and nothing is saved.

A lot needing repair gets a closure, which blocks it the same way a booking does. Website requests wait in their own list until staff review them. Owners manage lots and staff logins.

Why it’s built this way

An availability screen can be out of date the moment someone else clicks. So the app stores one record per lot per night, and the database refuses a second claim on the same one. The screens are a convenience. The guarantee sits underneath them.

Departure day doesn’t count as a held night, so one guest can leave and another can arrive the same day. Staff can move a stay to another lot, even mid-stay, without losing its history.

What it does

  • Each lot and night can only be claimed once, and the database itself enforces that.
  • Today’s arrivals and departures, the calendar, lots and cabins, customers and stay history, requests, closures and administration all run from one app.
  • Stress tested with simultaneous bookings for the same lot: one winner every round. A forced database crash left every confirmed booking intact and nothing half-saved.

Good to know

  • It focuses on reservations and guest records, so it stays simple for the front desk.
  • Website requests collect in their own list for staff to review.
  • Each staff member gets their own login, and owners manage the lots and logins.

When to buy booking software instead

If you want guests booking and paying online from day one, an established campground reservation service such as Campspot or Firefly may be the better buy. Custom makes more sense when your rules are unusual, when you only need what staff actually use, or when you want the system shaped around your own park.

I’ll tell you which side of that line you’re on.

Where to find it

The park’s website is pineygrovervpark.com. The staff side has its own private login.

Does your business have a rule like this?

Describe it in your own words. Rough is fine. I’ll tell you whether custom software makes sense, or whether something you can already buy does the job. You’ll be talking to me, Fred, not a sales team.
