Booking software for equipment rentals.
Ten trailers aren’t one item with a count of ten. They’re ten machines with their own hours, repairs and return dates, and your system should know each one.

What it fixes
The counter and the website rented out the same machine.
Every unit booked onceEach machine has its own schedule, so a phone booking and an online booking can’t both claim it.
A machine came back late and the next customer is waiting.
Return and prep timeTime to clean, check and refuel is on the schedule, so a unit only shows as ready when it is.
A machine due for service got rented anyway.
Service by days, jobs or hoursSet when each machine is due, and it comes off the schedule for the work.
Nobody can say which serial number went out.
A history for each unitSerial number, rentals, repairs and hours, all on one record for each machine.
Damage disputes come down to memory.
Check-out and check-in notesRecord condition and hours going out and coming back, tied to that rental.
Deposits are hard to match to the job.
Deposits tied to the rentalDeposits and refunds through a hosted checkout, recorded against the rental they belong to.
Built on working software
The rule underneath this is already built. In the Piney Grove reservation app, one lot can only belong to one reservation each night, and the database refuses a second claim even when two people try at the same moment. A machine and a rental day work the same way.
For a rental yard, units, prep time and service schedules all work around that same rule.

Questions you might have
Can customers book a type of machine, not a specific one?
Yes. A customer can book “a skid steer,” and staff assign the actual unit later. The system makes sure one stays available for that booking.
Can it rent by the hour as well as by the day?
Yes. Hours, half days, days, weeks and minimum rental periods all go into the scope, written the way you price rentals today.
Can it handle delivery and pickup?
Yes. Delivery and pickup can be scheduled along with the rental, so the time on the truck blocks the unit too.
When should I buy something instead?
If you rent a standard catalog and want something running this week, an off-the-shelf rental system such as EZRentOut may be the better buy. Custom makes sense when your yard, contracts or service schedule don’t fit one.
I’ll tell you plainly if that’s the better choice for you.
Tell me how your bookings work.
Rough is fine. You’ll get a straight answer on whether custom software makes sense.
